How to Import a Bank Statement CSV into QuickBooks Online, Wave, and Xero
The exact column layout each app expects, the formatting mistakes that make uploads fail, and how to fix them.

If your bank feed is broken or your bank doesn't connect, a CSV upload is the fallback. Each app is picky in a different way. This guide shows the layout each one wants and the fixes for the most common failed uploads.
Quick answer: QuickBooks Online wants 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit). Wave wants date, description, and either one amount column or separate deposit and withdrawal columns. Xero needs at least Date and Amount, with expenses as negative numbers.
Before you start: try a better format than CSV
Many banks also offer QBO, QFX, or OFX downloads. Wave recommends those formats over CSV when your bank provides them (Wave Help Center). If your bank only gives you CSV or Excel, keep reading, or convert it in your browser with our bank statement converter (files never leave your computer).

Rules that trip people up:
- In the 4-column layout, put each transaction in Credit or Debit, and leave the other cell blank.
- Remove zero values.
- Remove numbers from the Description column.
- Use one consistent date format, and strip weekday text like "Mon".
- The file must be in English, under 350 KB, and hold no more than 1,000 transactions. Split bigger statements into several files.

Wave
Accepted layout (Wave Help Center): a date column, a description column, and either one amount column or separate deposit and withdrawal columns.

Rules that trip people up (troubleshooting article):
- Dates should be YYYY-MM-DD or YYYY/MM/DD. Full or three-letter month names also work.
- Delete extra columns, blank rows, header junk, and duplicate date columns.
- Strip currency symbols from amounts.
- Descriptions need words, not only numbers.
After uploading, you map which column is the date, amount, and description.

Xero
Accepted layout (Xero Central): Date and Amount are required. Income is positive and expenses are negative. Download Xero's CSV template from the bank account's Import a Statement screen and paste your data into it.

Precoding (optional): Xero's template also has AccountCode, TaxType, and ContactName columns. Fill them and Xero creates and reconciles the matching transactions for you. AccountCode and TaxType must exactly match your chart of accounts and tax rate names, and ContactName should exactly match an existing contact or you'll get duplicates.

FAQ
Why does QuickBooks say my file is too large?
QuickBooks Online caps CSV uploads at 350 KB and 1,000 transactions. Split the statement by month.
Why are my amounts all showing as deposits in Xero?
Expenses need a minus sign. If your bank exports withdrawals as positive numbers in their own column, convert them to negatives in one Amount column first.
Can I upload a PDF statement?
The help articles above cover CSV files (and, for Wave, bank formats like OFX, QBO, and QFX). If your bank only gives you a PDF, ask whether it can export CSV instead, since every one of these apps documents CSV import.
